Financial Management & Proprietary In-House Software
Strong financial management is one of the most important parts of operating a condominium Corporation. GSCMI provides financial management supported by our in-house proprietary condominium financial software, giving our team greater control over financial processes, reporting, tracking, and day-to-day administration. Our financial services include accounts payable and receivable coordination, arrears tracking, monthly financial reporting, bank reconciliations, reserve and operating fund monitoring, payment processing, budgeting support, and financial record organization. We maintain clear communication between contractors, management, and the Board so Directors are not left chasing vendors for answers. GSCMI works with Boards, engineers, financial professionals, and other specialists to help coordinate Reserve Fund Studies and support the implementation of reserve fund plans. We monitor upcoming projects and major expenditures, help Boards understand future funding requirements, and assist with planning for repairs and replacements before they become urgent. This provides the Board with a clearer picture of what is coming and allows the Corporation to prepare accordingly.
Project Management
Major condominium projects require organization, communication, documentation, and ongoing oversight. GSCMI assists Boards with projects from the early planning stages through to completion. Depending on the project, this may include coordinating consultants, obtaining proposals, organizing contractor meetings, developing timelines, communicating with owners, monitoring progress, reviewing outstanding items, and providing regular updates to the Board. Whether it is roofing, paving, building repairs, landscaping improvements, mechanical work, or another major project, our role is to keep the process organized and moving forward.
Owner Communications
Communication is one of the most important parts of condominium management, and it is a major priority at GSCMI. We aim to acknowledge emails within four business hours and provide a full response or meaningful update within 24 business hours, subject to reasonable exceptions such as emergencies, weekends, holidays, complex matters requiring investigation, or situations where information is required from a contractor, Board, legal counsel, engineer, or another third party. Even when an immediate answer is not available, owners should know their message has been received and that their concern is being addressed.
Meeting Management
GSCMI provides organized and professional support for Board meetings, Annual General Meetings, owners’ meetings, and other condominium meetings. We assist with agenda preparation, meeting notices, supporting documents, management reports, action-item tracking, and follow-up after meetings. Our goal is to make meetings more productive by ensuring Directors have the information they need before decisions are made and that decisions made at the meeting are properly followed through afterward.
Emergency Coordination
Condominium issues do not always occur during regular business hours. GSCMI provides after-hours emergency support for urgent situations that require immediate management attention, including significant leaks, floods, building system failures, safety concerns, property damage, and other serious incidents. We coordinate the appropriate emergency response, communicate with contractors and Board representatives where necessary, and ensure follow-up occurs after the immediate emergency has been addressed. Owners and Boards should have confidence that urgent matters will not simply sit unanswered until the next business day.
Rental Property Management
GSCMI also provides comprehensive rental property management for owners who want professional oversight of their investment property. Our services can begin with initial leasing and move-in coordination and continue through the complete day-to-day management of the property. Does GSCMI make decisions for the Board?
No. The Board of Directors remains responsible for governing the condominium Corporation and making Board decisions. Our role is to provide information, recommendations, administrative support, and industry knowledge so Directors can make informed decisions.
Can GSCMI help a new Board understand its responsibilities?
Yes. We can help Directors better understand meeting procedures, governing documents, records, rules, policies, maintenance responsibilities, financial oversight, and other areas of condominium governance. We believe an informed Board creates a stronger condominium community.
How does GSCMI handle maintenance requests?
We review maintenance concerns, determine the appropriate next steps, coordinate contractors where required, arrange access, monitor the status of the work, and follow up until the matter is completed. The Board can also be kept informed throughout the process where appropriate.
Does GSCMI only deal with maintenance after something breaks?
No. Preventative maintenance is an important part of our approach. We work with Boards to identify recurring issues, seasonal requirements, upcoming maintenance, inspections, and areas where early action may help prevent more serious and costly problems.
Will GSCMI obtain contractor quotes for the Board?
Where appropriate, yes. We can obtain quotations, compare proposals, coordinate site visits, review scopes of work, and present the information to the Board so Directors can make the final decision.
Who follows up with contractors when work is delayed?
GSCMI does. Contractor follow-up is part of our management role. We communicate with contractors regarding schedules, outstanding work, deficiencies, documentation, and completion so Board members are not required to continually chase vendors themselves.
How does GSCMI prepare an annual condominium budget?
We review the Corporation’s previous expenses, current contracts, utility costs, anticipated increases, reserve fund requirements, upcoming projects, known maintenance needs, and other expected expenses. We then work with the Board to develop a realistic operating budget for the upcoming fiscal year.
Will the Board be able to review the budget before it is finalized?
Yes. Budget preparation is a collaborative process. The Board will have an opportunity to review the proposed budget, ask questions, consider different options, and understand significant changes before approving it.
Does GSCMI prepare Reserve Fund Studies?
Reserve Fund Studies must be prepared by qualified professionals in accordance with applicable requirements. GSCMI can coordinate the process, work with the Corporation’s engineer or reserve fund professional, gather required information, arrange inspections, and assist the Board with understanding and implementing the resulting plan.
How does GSCMI help with future reserve fund projects?
We monitor upcoming projects identified in the Reserve Fund Study and work with the Board to plan ahead for major repairs and replacements. This can include budgeting, obtaining professional advice, coordinating quotations, organizing project timelines, and communicating with owners.

How quickly does GSCMI respond to emails?
Our service standard is to acknowledge emails within four business hours and provide a full response or meaningful update within 24 business hours whenever reasonably possible.
There may be exceptions for complex matters, emergencies, weekends, statutory holidays, investigations, or situations where we are waiting for information from a Board, contractor, lawyer, engineer, insurance professional, or another third party. Can owners contact management directly?
Yes. Owners will have a clear point of contact for condominium-related questions, maintenance concerns, records, notices, account matters, and other management issues. Some matters may require Board direction depending on the nature of the request.
Does GSCMI attend Board meetings?
Yes, where meeting attendance is included within the Corporation’s management agreement. Management can prepare meeting materials, provide reports, discuss outstanding matters, assist with action items, and support the Board throughout the meeting.
Can GSCMI assist with Annual General Meetings?
Yes. We can assist with AGM preparation, notices, meeting packages, owner communications, proxies, coordination with professionals, meeting logistics, and follow-up after the meeting.
What is considered an after-hours emergency?
Emergencies generally involve situations requiring immediate action to protect people or property, such as significant water leaks, flooding, major building system failures, serious property damage, fire-related issues, security concerns, or other urgent situations that cannot reasonably wait until the next business day.
Can owners call after hours for regular maintenance requests?
Routine maintenance issues should normally be submitted during regular business hours. The emergency service is intended for urgent situations requiring immediate attention. This helps ensure emergency resources remain available when they are truly needed.
Can GSCMI manage an individual condominium unit or rental property?
Yes. In addition to condominium Corporation management, GSCMI can provide rental property management services for individual property owners who want professional assistance managing their investment.
What does rental property management include?
Services can include initial leasing coordination, property inspections, move-in and move-out coordination, tenant communication, maintenance requests, repair coordination, contractor access, property condition documentation, and general day-to-day property management.
Can GSCMI inspect my rental property?

Yes. A management transition requires organization and careful follow-up. GSCMI can work with the Board and outgoing management company to coordinate the transfer of records, financial information, contracts, owner information, banking information, outstanding projects, maintenance issues, keys, access systems, and other important Corporation information.
What happens before GSCMI officially takes over management?
Before the management start date, we work with the Board to understand the Corporation, identify urgent matters, review available records and contracts, establish communication procedures, set up management and financial systems, and create priorities for the first several weeks of management.
